The key to a successful implementation is the development of systems that support best practice and process improvement. ICT Revolutions ensures that the project team and key business decision makers are in the best possible position to make the right decisions and are able to manage their systems going forwards.
What is our approach?
There are 4 key elements that we offer to support you with the design and development of a replacement case management system, or adding / changing a process within your existing system:
- Knowledge Transfer,
- Systems Requirements Gathering,
- Configuration and Systems Development,
- Test Management.
Knowledge Transfer
At ICT Revolutions, we recommend providing knowledge transfer sessions early on in an implementation of a replacement case management system, or new functionality within an existing system.
This is crucial to ensuring that staff working on a project understand the capabilities of the systems before they are asked to make key configuration and process decisions. We find that this is often a stage that organisations miss and is key to our delivery model.
We can also provide ‘Train the Tester’ training for the wider group of staff that will be required to undertake user acceptance testing, ensuring that:
- Testers will have a good understanding of how to log into, and navigate the test systems
- Testers will be better prepared for their UAT sessions with less reliance on the Project Team for support
- More thorough testing will take place
- The wider testing team will be better placed to provide support to other staff in the initial weeks of go-live
Knowledge transfer sessions can continue through an implementation to ensure that project team members understand configuration options as the system develops through UAT sessions and onto go-live.
Systems Requirements Gathering
We can hold workshops to cover all business areas covered in your replacement case management system, to develop a proposed set of ‘to be’ business processes. These sessions are held before and alongside the supplier configuration – our experience is that customers need to be exposed to all the systems well in advance of making decisions, and our approach uses extended sessions to not just capture business requirements, but to challenge the business and provide alternative options to facilitate business change.
Once processes and configuration have been determined, ICT Revolutions can produce full scoping documents for processes and forms.
Configuration and Systems Development
Social care and education case management systems very often come with lots of locally configured functionality that the software supplier will leave up to the customer to setup and manage. ICT Revolutions can provide advice, support and resource to design, build and deliver bespoke and innovative locally configured solutions to your Case Management Systems.
The services we offer include:
- Form designing and building
- Excel integration within forms
- Building RTF outputs
- Custom Workflow designing and building
- Re-configuring and streamlining System and Pathway settings
- Users, Department and Permissions configuration
- Knowledge transfer sessions
During this period, we recommend that knowledge transfer to Applications Support staff around relevant areas of the product (such as forms design, system configuration etc.) begins.
Test Management
ICT Revolutions can coordinate and oversee the development of testing schedules, scenarios and scripts, and management of user acceptance testing.
It is essential, whether implementing an all new Case Management System or just small piece of new functionality, that every scenario is considered and comprehensively tested. ICT Revolutions can provide a range of Testing services including:
- Test planning
- Train the tester training videos and classroom sessions
- Writing scripts, release notes and preparing test cases / scenarios
- User Acceptance Testing (UAT) support – facilitating sessions, demonstrating new functionality and logging bugs and issues
