What is REVAULT?

REVAULT is our archiving system for legacy systems and data. It provides an easy, configurable, safe and cost-effective way to store legacy case files and a simple process for accessing them via a web-based tool. 
 
We know that managing data from legacy systems can be expensive and complex, as both infrastructure and licensing must be maintained. It is complex to migrate data from legacy platforms, and there is often a fear that during any kind of migration, data could be lost. With REVAULT, we have been able to eliminate those worries and produce a system that generates both infrastructure capacity and licensing savings. 
 
REVAULT provides a single source of legacy data to support the identification, management, and appropriate disposal of historic records. It’s a great opportunity to clean up any outdated systems data, or excel files, and safely store them in one place. 
 
REVAULT is also highly configurable and comes with its own suite of eLearning for users and administrators. 

Product Features

One front-end for multiple Legacy Systems – One REVAULT license can support multiple legacy data sources, and more can be added over time. Data from linked systems can be added and access controlled independently, for example where a finance system is linked to case management, finance data can be presented alongside person data for authorised users only 

REVAULT secures your data – access is only granted to named users via strong passwords or optional Active Directory integration 

All user access is audited – a full log of all requests for access & records viewed is retained within the system 

Access to user records is controlled – when a user searches for a record, they cannot access it until approved. Pending requests are processed by an administrator.  This control can be applied to all records, those flagged as ‘restricted’, or none at all, depending on your requirements 

Access Requests can be timed – approval to access case files can be restricted to a configurable period. After expiry, further access approval is required. Approval to access records is managed via your existing business process. 

Familiarity – REVAULT recreates the language and terminology used in the legacy system(s), so that users can navigate records confidently with minimal training requirements.  

Configurability – Many aspects of REVAULT can be locally configured, such as: 

  • The presentation & display of data types 
  • Security Settings 
  • Approval period 
  • Email address for approval notifications 

Purging Records – REVAULT provides a retention & archiving removal process to allow the purging of records as appropriate. This functionality is often not available for legacy systems.

Frequently asked questions

What systems can you replace with REVAULT?

We can replace any system with REVAULT. We’ve previously archived all of the main last-generation social care and finance systems, as well as some bespoke single-use systems.

If a customer wishes to archive a system that we haven’t worked with before, whether it’s for social care case management or a completely different area, we would be delighted to undertake this work.  

Can REVAULT take all content from a legacy system?

Yes – REVAULT can archive demographic or setting records, as well as details of all assessment, plans or any other activity from your legacy system(s). This includes records from the legacy database, as well as any attachments that may have been added to the records. 

How long does implementation take?

For a system that we’ve archived previously, approximately six months with three rounds of testing from the customer. 

For new systems, this may take longer – however we always complete a data discovery exercise with your subject matter experts first, in order to produce a detailed scope and timescales. 

What customer resources are required to implement REVAULT?

Customers will be required to provide input at several key stages of implementation: 

  • Initial Scoping or Data Discovery – key stakeholders such as performance, systems and subject matter experts will provide input into the scope 

  • User Acceptance Testers who are familiar with the legacy system to complete testing. This will be the biggest resource requirement. 

  • ICT to manage infrastructure and systems access 

Customers may wish to appoint their own project manager for larger projects, to co-ordinate testing and sign-off. 

What ongoing support is available?

Ongoing support for REVAULT includes application support and platform maintenance delivered via a helpdesk, with all tickets managed through Freshdesk and monitored during business hours. This covers the resolution of application issues as well as the ability to log requests for changes. The service also includes application and database upgrades, ensuring the platform remains up to date and fully supported.
