When it comes to working with vulnerable children, there’s no room for error.
That’s something Achieving for Children (AfC), in partnership with the Royal Borough of Windsor & Maidenhead (RBWM), understands deeply. As a not-for-profit social enterprise created in 2014 by the Royal Borough of Kingston and the London Borough of Richmond, AfC was established to deliver high-quality children’s services. In 2017, the Royal Borough of Windsor & Maidenhead joined as the third partner, and AfC now delivers social care, education, and health services across all three boroughs.
AfC has built a reputation for excellence, innovation, and dedication. Their forward-thinking approach has earned them Ofsted Outstanding ratings, demonstrating their unwavering commitment to safeguarding, supporting, and improving the lives of children and families across all the boroughs they deliver services within.
So, when the time came to update their outdated case management system, they knew they needed more than just technical know-how; they needed a partner who could see the bigger picture, too.
Legacy system in need of an update.
AfC (RBWM) had been operating on the PARIS Case Management System (Civica Care Records), a legacy platform that no longer met the demands of their growing and evolving workforce. With over 400 staff in Windsor & Maidenhead and more than 2,000 across the wider organisation, the need for a more modern, robust, workflow-driven platform with consistent functionality was clear.
They made the decision to transition to Liquidlogic, a system better equipped to support their operations across social care and education. But, as with any complex system migration, the how becomes just as important as the what.
Because when you're dealing with sensitive, regulated, and highly nuanced data, migration isn’t as simple as pressing a button. If the data is mishandled or misinterpreted, the entire system risks becoming ineffective, or worse, posing a risk to the quality and continuity of care.
AfC (RBWM) needed more than a tech team. They needed a partner who could understand why the data mattered and how it would be used.
ICT Revolutions brought both the technical expertise and sector insight to do just that.
Why data migration isn’t just about data migration…
AfC (RBWM) partnered with ICT Revolutions to lead the complex data migration process and provide strategic support throughout the transition. With deep expertise in both technical delivery and business-critical understanding, ICT Revolutions offered the ideal blend of skills to ensure the project’s success.
ICT Revolutions provided:
- Specialist data migration support
- Ongoing guidance and consultation
- Technical system expertise and troubleshooting
- Sector understanding of children’s services operations
- Ongoing collaboration with AfC’s internal teams
To support the migration process and ensure safeguarding remained at the forefront, extra personnel were brought in, including a dedicated liaison officer. This added layer of oversight helped maintain confidence and clarity as the project progressed.
Crucially, ICT Revolutions understood that data migration isn’t just about moving information. It’s about ensuring that the right data, in the right format, is available to the right people when they need it. In an environment where accuracy and security are non-negotiable, this attention to detail proved invaluable.
Expert support for an expert service.
Typically, data migration projects require 5-7 formal rounds of migration and refinement. However, thanks to the efficiency and precision of ICT Revolutions, AfC (RBWM) saw over 90% of their data migrated accurately in the first round - a significant achievement, considering the industry average is around 20%.
The full migration was completed in just three formal rounds, a result that exceeded expectations and left AfC (RBWM) confident in the integrity of their new system.
“At no point did the project feel out of control. We always felt supported, understood, and in safe hands.”
– Tom Chapman, Head of Business Systems & Strategic IT Lead, AfC
With sensitive information that must be stored securely and accessed reliably in the future, AfC (RBWM) understands the weight of their duty of care, and ICT Revolutions ensured that the new system reflects this responsibility.
When you’re delivering life-changing services, your systems have to support your teams, not slow them down.
AfC (RBWM) didn’t just need a working case management platform. They needed to be confident that their data was secure, compliant, accessible, and relevant. That it would help them safeguard children and families, not leave gaps or risks.
The success of this project hinged not only on technical skill but on a strong understanding of the children’s services environment. AfC (RBWM) recognised the importance of working with a team that could grasp both the mechanics of the system and the context in which it’s used.
What’s next?
With the data migration complete and the new system up and running, the next phase is already underway:
- Final system checks
- Staff onboarding and e-learning support
- Continued collaboration to make sure everything runs smoothly long-term
AfC (RBWM) can now look to the future with confidence, knowing that their case management system is aligned with their needs and backed by a team that understands the weight of the work they do.
